1. Who we are
Innovative Vending Solutions (Pty) Ltd (“IVS”, “we”, “us”) is a South African company (Registration No. 2024/176221/07) that sells, rents, customises and services vending machines. Our registered business address is 11 Hammanshand Road (Stellenbosch LaunchLab), Stellenbosch, 7599, South Africa.
We are the “responsible party” under the Protection of Personal Information Act, 2013 (POPIA) for the processing described here. This policy covers this website and the enquiries and correspondence that come through it.
Our Information Officer is registered with the Information Regulator (South Africa), registration number 2026-034099. You can contact the Information Officer at admin@innovativevendingsolutions.co.za or at the address above.
2. What we collect
Information you give us
When you complete the enquiry form, email us, call or send a WhatsApp message, we collect what you provide. Through the form that is your name, company or “private”, email address, phone number, province, area, the type of enquiry, and anything you write in the message field. By other channels it is simply whatever is in your message.
Providing the fields marked required is voluntary, but without them we cannot respond to your enquiry or quote for your site.
Information collected automatically
This site sets no cookies and runs no analytics or advertising trackers. Our hosting provider processes standard server connection information — such as IP address, browser type and the pages requested — for security and to deliver the site. We do not use that information to build a profile of you.
What we do not collect here
We do not take payments on this website, and we never receive card numbers, CVV codes or PINs through it. Where a client later needs card acceptance on a vending machine, that is a separate process with its own payment provider and its own terms, and it is not run through this site.
3. Why we process it, and on what basis
We process personal information for purposes permitted by section 11 of POPIA: responding to your enquiry, preparing quotes, arranging site visits, taking steps at your request before entering into a contract, delivering and servicing machines, meeting accounting, tax and record-keeping obligations, and protecting our systems.
Depending on the context, the lawful basis is your consent, the performance of a contract or steps preliminary to one, compliance with a legal obligation, or our legitimate interest in operating and securing a business service.
4. Who we share it with
We share personal information only where it is necessary for the purposes above. Recipients are category-based service providers that supply website hosting and content delivery, form-submission handling, business email, and internal enquiry-management tools. These providers process personal information on our instructions and under contractual safeguards.
We do not sell personal information, and we do not share it with third parties for their own advertising.
5. Cross-border transfers
Some of those providers store information outside South Africa. Where information leaves the country we rely on section 72 of POPIA: the recipient is subject to laws or binding agreements providing substantially similar protection, or the transfer is necessary to perform our contract with you or to take steps at your request before entering into one.
6. How we protect it
We maintain reasonable technical and organisational safeguards appropriate to the information and the risk: encrypted transmission over HTTPS, restricted access limited to authorised personnel bound by confidentiality obligations, credential-management practices, and incident-response procedures.
If we have reasonable grounds to believe personal information has been accessed or acquired by an unauthorised person, we will notify the Information Regulator and affected data subjects as soon as reasonably possible, as required by section 22 of POPIA.
7. How long we keep it
We keep personal information only as long as needed for the purposes above or as required by law. Enquiries that do not lead to a client relationship are deleted or anonymised within a reasonable period. Records connected to a sale, rental or service are kept for as long as tax and company law requires.
8. Marketing
We only send electronic marketing where the law allows it, and every message includes an opt-out. To opt out at any time, email admin@innovativevendingsolutions.co.za with “Unsubscribe” in the subject line.
9. Your rights
Under POPIA you may, at any time and free of charge (a small fee may apply to copies):
- Access — ask whether we hold personal information about you, and request a copy.
- Correction — ask us to correct or update information that is inaccurate.
- Deletion — ask us to delete or destroy information we no longer need.
- Objection — object to processing based on legitimate interests, and opt out of direct marketing.
- Complaint — complain to the Information Regulator (South Africa), inforegulator.org.za.

10. Changes
We may update this policy as our services change. The current version, with its version number and effective date, is always published on this page.
