3. The Information Regulator

4. Records held
We hold records in the following broad categories. Listing a category here does not mean every record in it is automatically available — access is decided against the grounds for refusal in PAIA.
- Company records — incorporation documents, statutory registers, tax and VAT records.
- Financial records — invoices, statements, management accounts, audit and accounting records.
- Client records — enquiries, quotations, sale and rental agreements, delivery and installation records, service and repair history.
- Supplier records — purchase orders, supplier agreements, stock and parts records.
- Employment records — contracts of employment, payroll records and related statutory returns.
- Operational records — machine and site records, maintenance schedules, technical documentation.
- Marketing records — website content, campaign material and correspondence.
5. Records available in terms of other legislation
Certain records are available or must be produced under other laws, including the Companies Act, 2008, the Income Tax Act, 1962, the Value-Added Tax Act, 1991, the Basic Conditions of Employment Act, 1997, the Labour Relations Act, 1995, and the Protection of Personal Information Act, 2013.
6. How to request access
- Complete the prescribed request form (Form 2 of the PAIA Regulations), available from the Information Regulator's website.
- Send it to the Information Officer at admin@innovativevendingsolutions.co.za, or to the physical address above.
- Provide enough detail to identify the record, and the form of access you would like. Provide proof of identity, and where you are acting on someone's behalf, proof of your authority.
- If the request is not for access to your own personal information, state the right you are seeking to exercise or protect and explain why the record is required to do so.
- Pay the prescribed request and access fees where they apply. We will tell you what is payable before processing.
7. Our response
We will respond within 30 days of receiving a properly completed request. That period may be extended in the circumstances PAIA allows, in which case we will tell you and give reasons. If we refuse a request, we will give the grounds for refusal and explain your right to appeal or to apply to court.
8. Grounds for refusal
A request may be refused on the grounds set out in Chapter 4 of Part 3 of PAIA. These include the mandatory protection of another person's privacy, the commercial information of a third party, confidential information held under a duty of confidence, information that could endanger someone's life or physical safety, legally privileged records, and our own research or commercial information where disclosure would cause harm.
9. Fees
Fees are those prescribed in the PAIA Regulations, as amended from time to time. A request for your own personal information does not attract a request fee, although access fees for reproduction may still apply. We will confirm any amount payable before we process the request.
